WEC 2010 Exhibitor Reminders
Get the Discounted Rate! Register by June 25, 2010. Register on-line at WEC 2010 Registration. Exhibitors must register for the full conference to be allowed on the show floor. Each person in your booth must be registered to attend the conference. Exhibitor badges are not included with the booth rental fee.

Housing
Book now to get a low rate, and secure the hotel of your choice. To view hotel rates, visit the WEC 2010 housing information webpage.
Update Booth Profile
Updating your booth information is the key to having your company information printed in the on-site guide correctly. The on-site guide is a document handed out to all registered attendees. There is a section for the tradeshow and it will list all of the exhibitor’s information, including booth number and company description. You will update your booth profile online.
Ensure that these items are listed correctly:
- Company name
- MPI Member name who will be in your booth
- Company address
- Telephone #
- Email address
- Company website
- Company description (250 character maximum)
Booth profile information must be updated and correct by May 20, 2010 to be printed correctly in the on-site guide. Exhibitors are responsible for updating their booth profile.
If you would like to have your company name changed, please submit your change via email to tradeshow@mpiweb.org
Hosted Buyer Program
Elevate your experience and connect with highly qualified planners who have a specific need for your company’s product or service.
The hosted buyer program allows you to meet one on one with industry decision makers through pre-scheduled appointments.
Appointment Packages:
- Eight (8) 10-minute appointments = $2,850
- Sixteen (16) 10-minute appointments = $5,040
- Twenty-four (24) 10-minute appointments = $7,140
Benefits:
- Meet one on one with pre-qualified planners who have a specific need for your company’s product or service
- Cost includes one (1) complimentary full conference registration
- Maximize your presence at WEC by knowing who you will meeting with in advance and walk away with quantifiable new business opportunities
By selecting the 8 appointment package, appointments can take place in your booth Sunday and Monday during trade show hours. By selecting the 16 or 24 appointment package, additional time will be set aside on Tuesday for you to complete the other four appointments.
Must be an exhibitor at MeetingPlace 2010 in order to participate in the hosted buyer program.
To sign up for the hosted buyer program, you can log into your online booth profile and add the hosted buyer program from the list of Additional Sponsorship Opportunities.
Purchase an Upgraded Listing in the OnSite Guide
You can purchase an upgraded listing in the OnSite Guide for $175 when you register for your booth. If you have already purchased your booth, you can still purchase this upgrade by submitting a request to tradeshow@mpiweb.org Please include your company name and booth number in your email. Deadline for purchasing an upgraded listing is May 20, 2010.

Co-Exhibiting: Submit a Request or Approve a Co-Exhibiting Request
If you would like to join a company that has already registered, you will need to submit a co-exhibiting request:
- Email your request to co-exhibit to the company who you would like to co-exhibit with, and copy tradeshow@mpiweb.org on this email.
- Once the company who you would like to co-exhibit with approves your request, Show Management will assign you as a co-exhibitor.
If you are the exhibitor that received the co-exhibiting request:
- You will receive an email from the company who wants to co-exhibit with you.
- Submit your approval of the request to tradeshow@mpiweb.org
- Show management will assign the co-exhibitor to your booth.
Payment Information
All booths must be paid in full two weeks after reserving. MPI accepts checks and credit cards.

Exhibitor Kit
The Freeman exhibitor kit is available online!
You can use the exhibitor kit to:
- Review specific exhibitor information
- Order custom graphics for your booth
- Order furniture
- Review shipping information, print shipping labels and read FAQs
- Order services such as A/V, electricity, lead retrieval, floral, catering, carpet and much MORE!
- Review display labor, install / dismantle, hanging signs, lighting, etc.
Submit Booth Schematics for Approval
Exhibitors with island booths (20x20 or larger), and/or exhibitors in the premium section must submit a booth schematic to MPI Show Management for review and approval by June 25, 2010. Please E-mail or fax show management at tradeshow@mpiweb.org or 972.855.2080.
All lighting and overhead rigging must be approved by MPI. Self-contained visuals are permitted. Overhead rigging is not permitted on in-line booths.
Submit Certificate of Insurance
Please check with your accounting or procurement department, within your company. A certificate of insurance is a document stating how much insurance your company has.
All exhibiting companies must submit a valid certificate of insurance.
The Exhibitor shall maintain general liability insurance in an amount not less than One Million Dollars ($1,000,000) to cover its potential liabilities under this Agreement, and shall name MPI as an additional insured under Exhibitor’s liability policy for the period of the Show including move-in and move-out periods. Proof of Insurance must be submitted to MPI by June 25, 2010, or company may lose exhibit privileges.

Satellite/Client Events Tracking Forms
Are you hosting an event at WEC 2010?
If you are hosting, please review the Satellite/Client Events Information Page on the website.
- MPI collects your Satellite/Client Event information for the purpose of informing conference attendees about your event. MPI will only share open event information with conference attendees. Private events will remain invitation only.
- MPI uses this information to track how much business we were able to bring to the Host City and shares this with future cities so they can see the additional revenue potential of these events.

Pre-show & Post-show Mailing Lists
Pre-show mailing lists will be available for exhibitors purchase. Order yours now, only $250 a list! Mailing lists are in Excel format and contain mailing addresses only. It is a MPI policy not to sell email addresses or telephone numbers.
Interested? Please submit your order form online no later than June 25, 2010.
The pre-show mailing list will be available the week of June 28, 2010.
The post-show mailing list will be available the week of July 28, 2010.

- Usage of the MPI Logo is strictly prohibited on your marketing piece.
- Usage of the conference treatment is strictly prohibited on your marketing piece.
- When referencing events, please use:
- “MPI’s World Education Congress 2010” with the corresponding dates of July 24-27, 2010.
- If referencing the congress name, please use “World Education Congress” with the corresponding dates of July 24-27,2010.
- If referencing the conference location, please use “Vancouver, Canada”.
- Common Error - If you choose to include MPI or Meeting Professionals International, please do not use it as if it is the event name (i.e. “Please join us at MPI.” It should say “Please join us at MPI’s World Education Congress 2010”).
- Lists are for one-time use.
- Lists are not available for telephone surveys/telemarketing, broadcast fax and e-mail blasts.
